The Real Cost of an In-House Payroll Manager
The salary is the number that shows up in the budget. Here's what doesn't.
1. Benefits and employer overhead
Every employee costs 25–30% above their base salary in employer-side costs: health insurance, employer payroll taxes (FICA, FUTA, SUTA), 401(k) match, PTO accrual, and any other benefits you offer. On an $80,000 salary, that's $20,000–$24,000 in additional annual cost before they process a single payroll run.
2. Payroll error rate
The American Payroll Association estimates the average in-house payroll error rate at 1–8%. On a $3.5 million annual payroll (50 employees at $70K average), a 1% error rate is $35,000 in annual mistakes -- underpayments, overpayments, missed deductions, incorrect tax withholding. These errors require correction cycles, sometimes amended filings, and occasionally penalties. A managed payroll provider with automated compliance validation runs error rates well below 0.5%.
3. Employee question time
This is the hidden cost almost no one measures. - You're a public company -- the reporting requirements and internal controls at public-company scale usually justify dedicated staff
