When does a Shopify seller actually need a payroll system?

You need a proper payroll system the moment you pay anyone as a W-2 employee -- including yourself if you are structured as an S-corporation or C-corporation. If you are a sole proprietor or single-member LLC taking owner draws, that is not payroll. But the moment you pay a warehouse worker, a part-time customer service rep, or a fulfillment assistant on a regular schedule, those payments are wages subject to withholding and employer payroll taxes. Running these through your personal bank account or paying cash without withholding creates significant IRS exposure.

We pay virtual assistants and overseas contractors. Do those go through payroll?

Foreign contractors working outside the US are generally not subject to US payroll. They are paid as independent contractors via wire transfer or international payment platforms and receive no US tax reporting if they are non-US persons working outside the US. For US-based virtual assistants who are true independent contractors (they work for multiple clients, set their own hours, use their own tools), you pay them gross and issue a 1099-NEC if you pay them $600 or more in a calendar year. They do not go through payroll. If, however, the VA works exclusively for you and takes direction from you like an employee, they should likely be classified as an employee.

What payroll taxes does a Shopify store owner owe as an employer?

As an employer, you pay the employer share of FICA -- 7.65% on each employee's wages up to the Social Security wage base ($168,600 in 2024), plus 1.45% on all wages above that for Medicare. You also pay federal unemployment tax (FUTA) at 6% on the first $7,000 of each employee's wages, reduced by your state unemployment tax credit to typically 0.6%. State unemployment insurance (SUI) rates vary by state and by your claims history. You also match the employee's FICA withholding dollar for dollar. These employer costs add roughly 10-12% on top of each employee's gross wages.

We are growing fast and might need to hire in multiple states soon. How do we prepare?

Before you hire in a new state, identify your obligations in that state: employer registration, SUI account setup, income tax withholding configuration, and compliance with state-specific wage laws. The setup time varies from a few days to a few weeks depending on the state's processing speed. We recommend initiating the registration process before you extend an offer so there is no gap between the employee's start date and your withholding setup.
